We have an excellent opportunity for an apprentice to be supported and trained to become an efficient and effective administrator. You will be supported by your line management and the wider Technical and Strategic Bid Support department to learn a variety of new skills to help you achieve your qualification.

The Technical and Strategic bid Support department provides 2 key areas of support to the wider business. By being the product owners and technical experts for the Flygt brand, we are responsible for the launch of new products into the business and providing on-going technical expertise to customers and the rest of the business. Secondly, the department is responsible for preparation and submittal of bids for major contracts worth generally between £1,000,000 and £50,000,000 for the whole of the business in the UK and Ireland.

MAIN DUTIES AND RESPONSIBILITIES:

  • Provide a comprehensive administrative and customer focused service
  • Maintain & update Supplier Management portals
  • Co-ordinate and complete responses to supply chain questionnaires from Customers
  • Administer the periodic reporting on our major agreements and ensure that key milestones dates for are met
  • Maintain and ensure Company certificates are up to date (i.e. Quality & Insurance)
  • Respond to ad hoc requests for information from internal & external stakeholders

Skills an apprentice will learn:

  • Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required
  • Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks
  • Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate
  • Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Answers questions from inside and outside of the organisation, representing the organisation or department
  • Completes tasks to a high standard. Demonstrates the necessary level of expertise required to complete tasks and applies themself to continuously improve their work. Is able to review processes autonomously and make suggestions for improvements. Shares administrative best-practice across the organisation e.g. coaches others to perform tasks correctly. Applies problem-solving skills to resolve challenging or complex complaints and is a key point of contact for addressing issues
  • Takes responsibility for initiating and completing tasks, manages priorities and time in order to successfully meet deadlines. Positively manages the expectations of colleagues at all levels and sets a positive example for others in the workplace. A great opportunity has arisen for a Procurement Co-ordinator Apprentice. The successful candidate will be offered training and study support.

Procurement teams are responsible for researching, sourcing, buying, storing, maintaining and delivering the equipment and goods needed to produce or support products at the right time, the right cost and to the right quality.

Job purpose:

The role will be around processing requisitions, expediting orders, query resolution, working with other departments and teams, working to deadlines, data analysis, prioritising and planning workloads etc. You will work closely with production, logistics, purchasing and customs.

During the period of the Apprenticeship work and responsibilities will be varied and could include:

  • Processing requisitions and converting to Purchase orders
  • Liaising with Suppliers to order goods and services
  • Expediting orders
  • Preparing weekly open order reports
  • Supplier set ups
  • Invoice query resolution and problem solving
  • Managing small areas of spend from sourcing to delivery
  • Assisting and shadowing Category Buyers and Procurement Managers with tasks such as minute taking, gathering data for projects, obtaining signatures on contracts, etc.
  • Supporting logistics and goods movements domestic and internationally

Such other duties and responsibilities as may be required to meet business needs.

Purpose:
To provide statistical analysis support to the internal and external sales Management, and to support maintaining the Company’s product pricing systems plus providing Financial & KPI reports for our Key Customers.

This occupation is found in all sectors where data is generated or processed including but not limited to finance, retail, education, health, media, manufacturing and hospitality. The broad purpose of the occupation is to source, format and present data securely in a relevant way for analysis using basic methods; to communicate outcomes appropriate to the audience; analyse structured and unstructured data to support business outcomes; blend data from multiple sources as directed and apply legal and ethical principles when manipulating data.

Duties will include:

  • Source data from a collection of already identified trusted sources in a secure manner
  • Collate and format data to facilitate processing and presentation for review and further advanced analysis by others
  • Present data for review and analysis by others, using required medium for example tables, charts and graphs
  • Blend data by combining data from various sources and formats to explore its relevance for the business needs
  • Analyse simple and complex structured and unstructured data to support business outcomes using basic statistical methods to analyse the data
  • Validate results of analysis using various techniques, e.g cross checking, to identify faults in data results and to ensure data quality

Job Role:

GCSE grades 4 to 9 (A* to C) or equivalent in English and Mathematics

30 hours per week during school term time only.
Hours will be spread between Monday to Friday inclusive (actual hours to be agreed on start)
There will be no hours worked during school holidays.

£6.40 per hour paid Pro Rata.
Gross pay will be £192.00 per week (£6.40 x 30hrs) 39 weeks school term and 3 weeks holiday pay.
Pro Rata pay £192 x 42 weeks = £8,064 divided by 52 weeks = £155.08 per week.

An opportunity has arisen for a varied and diverse role within a doctor’s surgery in Moreton in Marsh Gloucestershire.

The role is to work within the Practice’s Reception Team. You will be speaking with patients, booking appointments and assisting with various admin tasks.

At all times you will ensure that high standards of communication with patients and their carers is undertaken in a confidential, courteous and helpful manner.

Main Duties and Responsibilities:

  • Use of the practice record keeping system to ensure accuracy in recording and capturing relevant patient information
  • Greeting patients and arranging patient appointments
  • Answering telephones and relaying messages accurately where appropriate
  • Handling and responding to emails and forms submitted via the website portal
  • Communication with third parties as required
  • Preparation of administrative forms for patients and return of these forms to the correct person in practice
  • Adhering to the opening and closing procedures of the surgery
  • Checking tidiness of the general practice area after surgeries, am and pm

This job description is not exhaustive and may be adjusted periodically after review and consultation. You will also be expected to carry out any reasonable duties which may be requested from time to time.

Quality Requirements:

  • To participate in achieving the Practice’s Quality and Outcomes Framework targets
  • To ensure that all patient information is managed promptly, efficiently and in a confidential manner
  • To respond pro-actively to patient needs to maintain the high standard and reputation of the surgery
  • To ensure the Practice Code of confidentiality is adhered to at all times

You will be supported throughout the Apprenticeship with additional training such as safeguarding etc.

Qualifications Required:
GCSE Maths & English grades 4 to 9 (A* to C) or equivalent

  • Ensure accurate entry and processing of invoices received for purchase of goods and services procured by the College
  • Monitor and Review Purchase Orders and liaise with departments for prompt receipting and to assist in resolving queries
  • Support and undertake preparation and production of payment runs
  • Ensure all amounts paid have been properly approved and comply with College procedures
  • Reconcile supplier statements and resolve supplier queries as required
  • Set up new supplier accounts within APTOS, ensuring proper procedures and approvals have been obtained
  • Ensuring all utility costs are recorded correctly
  • Support the Team with accounting for expenditure incurred on GPC cards (procurement credit cards)
  • Post journals as required

There is potential for exposure to Sales ledger, Grants and Management Account activities as the apprenticeship develops.

Qualifications Required:
Minimum of 5 GCSEs, A-C grades or equivalent including Maths and English.

37 hours per week
Monday to Thursday - usually 9am – 5pm
Friday - 9am – 4.30pm with ½ an hour for lunch

£246.42 per week
